What email marketing software does for a business

At its simplest, email marketing software stores your subscriber list, gives you a builder to design each message and sends campaigns without them landing in spam. Most platforms then add marketing features such as automation, so a new subscriber gets a welcome series, a lapsed customer gets a reminder and a buyer gets a follow-up without anyone pressing send.

The value for a small business is control. You own the list, you decide when to talk to customers and you can see who opened, clicked and bought. That is why email tends to sit at the centre of a marketing strategy, next to the website and the CRM, and why most digital marketing plans start with growing the list.

Types of email marketing platform and service

The term covers several kinds of tool, so it is worth knowing which kind you need before you compare features.

  • Newsletter platforms are built for creators and publishers who grow and monetise a list. beehiiv is the example in our reviews, with referral, recommendation and paid subscription features.
  • Marketing automation platforms combine campaigns, forms, segmentation and automated sequences in one marketing solution. Mailchimp, Brevo and MailerLite are well-known names in this group.
  • Cold outreach tools such as Smartlead and Instantly run one-to-one sales sequences from many mailboxes, with warm-up and rotation. They are sales tools rather than newsletter tools.
  • Delivery services such as Mailtrap and Emailit handle transactional emails (receipts, password resets, alerts) through an API or SMTP, and some now add simple campaigns too.

Feature checklist, from campaign design to marketing automation

Once you know the type of platform you need, compare features against how you actually run marketing campaigns. Give most weight to the feature set you would use every week.

  • Subscriber list management. Tags, segments and custom fields decide how well you can send targeted emails to the right customer.
  • Builder and templates. A drag-and-drop builder matters if non-designers write the campaigns. Check the template library and whether the builder handles mobile layouts well.
  • Marketing automation. Check which triggers are available (sign-up, purchase, link click, date) and whether automation is included in the plan you would buy. Some marketing automation software keeps the more useful marketing workflows for higher tiers.
  • Testing and reporting. A/B testing of subject lines and content, send-time testing, plus clear reports on opens, clicks and revenue for each campaign.
  • Deliverability. Domain authentication, a good shared sending reputation and, for larger volumes, dedicated IPs.
  • Support. Read recent customer reviews for how quickly problems get answered, especially on lower plans where support may be limited to a help centre.

Growing your subscriber list

Every platform sends, but they differ a lot in how they help you grow a list. Look for embedded forms, pop-ups and landing pages you can publish without a developer, plus a double opt-in setting so new subscribers confirm their address. Newsletter platforms go further with referral programmes and recommendation networks, where other newsletters suggest yours to their readers.

Think about which marketing channels will feed the list, such as your website, social media, events or a lead magnet, and check the platform can tag each subscriber by source. Marketing teams use that tag later to send emails that match how each person joined.

Key questions to ask before you choose

  1. Do you need a newsletter, marketing automation, cold outreach or transactional delivery, or a mix?
  2. How big will your list be in a year, and how often will you send?
  3. Which systems need an integration on day one (CRM, store, forms, payments)?
  4. Who will build the campaigns, and how much design help do they need?
  5. Can you export your subscribers and their history if you move?

Integration with your CRM, store and customer data

Your marketing software is only as useful as the customer data inside it. A native integration with your CRM, ecommerce store and website forms keeps every subscriber record up to date and lets you trigger campaigns from real customer behaviour, such as a first order or an abandoned basket. Without it, you'll spend time on manual exports and the list will drift out of date.

Check the integration list before you buy, look at how data flows both ways and whether each integration is a native one or runs through a third-party connector. If you already use a CRM, see whether it includes campaigns before paying for a separate tool. Our CRM tools hub covers several all-in-one options, and our ecommerce tools hub covers the store side.

Email marketing software for small businesses

Most small businesses need fewer features than the big platforms advertise. A clean builder, a sign-up form, a welcome automation and basic segments cover a lot of ground for a small marketing team, and fewer features also means fewer settings for new users to learn. Start with your list size and how often you plan to send, then rule out any platform whose free or entry plan cannot handle that within a year.

Some platforms also offer SMS marketing or WhatsApp marketing from the same account. That is handy if your customers respond better to texts, but check how those messages are priced, as they are usually charged separately.

Pricing, list size and lifetime deals

Pricing usually follows one of three models. Subscriber-based plans charge by the size of your list. Send-based or credit-based plans charge by volume, which suits a large list that hears from you rarely. Outreach tools often charge by mailboxes, contacts or credits for leads and AI features. Watch for features that only appear on higher tiers, such as automation, removing the platform's branding or extra users. Some platforms also cap the number of emails per month on each plan, so work out how many emails you would send in a busy month, not a quiet one.

A lifetime deal can make sense when a smaller platform already does what you need and you would otherwise pay monthly for years. Read how to evaluate a SaaS lifetime deal and our best email marketing lifetime deals guide before buying one, and check that your list can be exported if you move later.

Frequently asked questions about email marketing software

What is an email marketing system?

An email marketing system is software that stores your subscriber list, lets you design and send campaigns, and reports on opens, clicks and sales. Most also include marketing automation, so messages go out on their own when someone signs up, buys or goes quiet. It replaces sending newsletters from a normal inbox, which is slow and often lands in spam.

Is there free email marketing software?

Yes. Many platforms have a free plan with limits on subscribers, monthly sends or features. beehiiv has a free plan for up to 2,500 subscribers, and Emailit has a free tier with monthly credits. Free plans usually show the platform's branding and leave out automation or support, so check those limits against your plans for the next year.

What are the types of email marketing software?

There are four main types. Newsletter platforms help creators grow and monetise a list. Marketing automation platforms handle campaigns, forms and automated sequences for a business. Cold outreach tools run sales sequences from many mailboxes. Delivery services handle transactional messages such as receipts through an API or SMTP. Many products now overlap two of these.

What is the difference between cold email and email marketing?

Email marketing goes to people who have agreed to hear from you, such as subscribers and customers. Cold email is one-to-one sales outreach to people who have not signed up, so it needs separate mailboxes, warm-up and careful volume control. Use a cold outreach tool for prospecting and a marketing platform for your own list, and keep the two apart.

What is the best email and SMS marketing platform?

It depends on where your customers are and what you sell. If you run an online shop, look for a platform with a close integration with your store and SMS marketing in the same automation builder. If you publish a newsletter, a dedicated newsletter platform usually suits you better. Check how SMS is priced, as it is normally billed on top of the plan.

Is a lifetime deal on email marketing software worth it?

It can be, if the platform already has the features you need and its sending reputation is good. Deliverability problems cost more than any saving, so read recent customer reviews about messages reaching the inbox, check the monthly limits on the deal and make sure you can export your subscribers if you move.
