Project management software for small businesses is usually priced per seat, so the bill grows every time you add a person. That makes lifetime deals on project management tools attractive, especially for small agencies. The difficulty is that good PM deals sell out quickly. When I checked the deals that used to be recommended in this category, most were marked sold out. Here is what is still available at the time of writing, and what I would do instead where a deal has ended.
Why PM lifetime deals are attractive
Per-seat pricing adds up quickly. A five-person team on a typical project tool pays for five seats every month, and the price rises as the team grows. A lifetime deal fixes that cost, at least up to the seat limit of the tier you buy. The trade-off is that lifetime tiers are usually smaller than the vendor’s paid plans, and you are betting on the vendor still being around.
The best project management software lifetime deal right now
FuseBase, client-facing projects and team workspace ($79 per code, AppSumo)
FuseBase is the strongest live deal in this category at the time of writing. It combines a team workspace (pages, task lists, Kanban boards, a calendar view, dashboards and file management) with white-labelled client portals, deal rooms and sites, AI agents and workflow automation. It also hosts n8n, Paperclip and Firecrawl for you.
| Codes | Price | Users | Workspaces | Client portals | Client accounts |
|---|---|---|---|---|---|
| 1 | $79 | 1 | 50 | 1 | 5 |
| 2 | $158 | 3 | 100 | 5 | 25 |
| 3 | $237 | 10 | 200 | 15 | 75 |
| 4 | $316 | 12 | 250 | 20 | 100 |
Codes stack without limit, and the deal has a 60-day refund window. For comparison, FuseBase’s own Essentials plan (5 members) is $99 a month, so even three codes pay for themselves within a few months. The main drawbacks are the learning curve and the single user on one code. Best for: agencies, consultants and service teams who share work with clients.

- Teable (an AI database you can use to build project trackers and CRMs) is sold out on AppSumo. It has a free plan with 1,000 rows, and Pro from $13 per seat a month billed yearly.

Building a project stack with lifetime deals
| Job | Tool | Cost |
|---|---|---|
| Projects, docs and client portal | FuseBase (2 codes, 3 users) | $158 once |
| Client calls and bookings | TidyCal Agency lifetime | $79 once |
| Structured data, if needed | Teable free plan | $0 |
That covers projects, client communication and scheduling for a three-person team for $237 in one-off costs at the time of writing.
Limitations of PM lifetime deals
- Seat caps. Lifetime tiers have fixed user limits. Check what happens when you hire, and whether you can stack codes or upgrade.
- Integrations and permissions. Advanced permissions, SSO and some integrations are often reserved for higher plans.
- Switching cost. Moving projects and client history out of a PM tool is painful, so choose carefully at the start.
- Vendor risk. If the vendor stops developing the product, your team is stuck on an ageing tool.
How to research a PM deal before you purchase
The best lifetime deals for project work are the ones you research properly first. Before you purchase, check the vendor’s own pricing page to see what the deal saves against the recurring plan, read the questions tab on the deal page to see how quickly the founder answers, and look for a public roadmap. A big discount is only a saving if the tool fits how your team already works, so set up one real project during the refund window. If the same SaaS tool appears on more than one deals platform, compare the tiers as well as the price, because a cheaper deal is no saving if its tier lacks the seats you need.
Lifetime deal or subscription for project management software?
Choose a lifetime deal if you are a small, stable team, the tool covers your workflow on the tier you buy, and the vendor has a subscription business alongside the deal (FuseBase does). Choose a subscription if you expect to grow quickly, need enterprise features, or rely on a large integration ecosystem. Mainstream tools such as Asana, ClickUp, Trello and Notion all have free plans that are fine for a team of one or two.
