What NinjaPipe is and who it is for
NinjaPipe is an all-in-one CRM for small businesses. It covers contacts and leads, sales pipelines and Kanban boards, a unified inbox, invoicing and quotes, booking pages, forms and automation workflows, with branded client portals on the higher plans. The vendor’s pitch is a CRM “built by closers for closers” that replaces several overlapping tools.
AppSumo lists marketing agencies, SaaS companies and sales managers as the best fit. Looking at the plans, I think it suits solopreneurs and small sales teams best, especially service businesses that also want to send invoices and take bookings from the same place. NinjaPipe says more than 1,700 businesses use it.
NinjaPipe CRM features
Contacts and sales pipelines
You can import customers and prospects from your online store or sales funnel, add custom fields, organise contacts with labels or groups, and build sales pipelines that match how your team sells. Deals move through Kanban boards, and automatic lead assignment is available from Growth+.
Unified inbox
Email, WhatsApp and SMS messages sit in one inbox, so follow-ups do not live in ten different tabs. Email integrations cover Gmail, Office 365 and SMTP.
Databins and lead capture
Databins connect your ad funnels and forms to the CRM, so new leads land assigned, enriched and ready for the next step. Custom forms and booking pages capture leads directly.
Automation workflows and AI
The workflow builder uses triggers and conditions to run sequences when things happen in the CRM. AppSumo’s listing also describes AI appointment scheduling, where you give the AI sample text and guidelines for how it talks to leads, with integrations for calendar tools such as Calendly, TidyCal and OnceHub.
Invoicing, products and client portals
You can create quotes and invoices, keep a product list, and on Growth+ and above give clients branded portals on a custom domain. Zapier and Pabbly Connect handle integrations with other tools.
NinjaPipe pricing
NinjaPipe publishes these prices, with about 20% off for yearly billing. You can explore without a credit card.
| Plan | Monthly | Yearly (per month) | Main limits |
|---|---|---|---|
| Solo | $19 | $15 | 1 user, 10,000 contacts, 3 pipelines, 500 invoices a month, 10 workflows, 1 booking page |
| Growth+ | $79 | $63 | Unlimited contacts, 50 pipelines, 50 workflows, client portals, custom domain, Zapier and Pabbly |
| Business+ | $199 | $159 | Unlimited pipelines, invoicing and forms, 200 workflows, dedicated support and SLA |
Lifetime deal. NinjaPipe ran a lifetime deal on AppSumo with tiers from $69 (10,000 contacts, 3 users, 1 workspace, 10 workflows) to $699. At the time of writing it is marked sold out.
Reviews, support and reliability
This is where I would be careful. NinjaPipe’s own site shows a 4.9 rating and a page of glowing quotes, many of which praise how quickly the founder and team ship updates. The AppSumo listing paints a more mixed picture: an average of 3.98 out of 5 from 82 reviews at the time of writing, with some buyers reporting bugs, slow pages and features that did not work as expected. Fast development and occasional instability often go together in young products. For a CRM your team uses all day, that is a real consideration.
Limits and drawbacks
- Mixed reliability feedback. See above. Test your own pipeline, inbox and invoicing flows thoroughly before moving your data across.
- Key features on Growth+. Client portals, a custom domain, email templates, automatic lead assignment and Zapier sit on the $79 plan.
- Single user on Solo. Solo is for one person. Teams need Growth+.
- Breadth over depth. NinjaPipe covers many jobs. Specialist tools for invoicing, booking or email marketing will usually go deeper in their own area.
NinjaPipe alternatives
- HubSpot is the established CRM with a free tier and a huge ecosystem, at a higher price as you grow.
- Pipedrive is a well-known pipeline-first CRM for sales teams.
- GoHighLevel is an all-in-one CRM and marketing platform popular with agencies.
Verdict
NinjaPipe packs a lot into a cheap CRM: pipelines, a multichannel inbox, invoicing, booking pages, workflows and client portals. The team clearly ships quickly and listens to users.
The mixed buyer reviews are the reason I would not move a busy sales team on to it without a proper trial. For a solopreneur or a small agency that wants one tool and can live with the odd rough edge, it is worth a look.
